This policy explains how Whole Resource Sdn Bhd (Registration No. 202601041075 (1703170-A)) ("we", "us") collects, uses and protects personal data under the Personal Data Protection Act 2010, as amended by the Personal Data Protection (Amendment) Act 2024. It covers this website and the quotes, orders and deliveries you arrange with us by WhatsApp, email, phone or in person.

The personal data we collect
What you give us. Your name, company, job title, phone number, email address, site or delivery address, the name and number of your site contact, the items and quantities on your quote list, drawings or bar schedules, and anything else you include in your messages to us.
When you order or open a trade account. Billing name and address, company registration number, payment records such as bank transfer references, and, if you apply for credit terms, the information on your credit application, such as directors' names and trade references.
When we deliver. Signed delivery orders, and photos of deliveries or of goods you report as short or damaged.
From this website. The website has no sign-up, no contact form and no online payment. It keeps your quote list in a cookie on your own device until you send it to us. If you arrive from an advert or another website, it records the campaign and the referring website in a cookie (see Cookies below). Our hosting provider also records technical data, such as your IP address, browser type and the pages you request, to deliver the site and protect it from abuse.
Why we use it
- To prepare quotes, take orders, arrange delivery and collect payment.
- To run trade accounts and credit terms, including checking your application.
- To answer your questions and handle returns, claims and complaints.
- To keep the accounting and tax records the law requires.
- To send you price updates or offers, but only if you agree. You can stop them at any time.
- To keep this website working and secure, and to understand which adverts and websites bring visitors to it.
Do you have to give it to us?
We need your name, a contact number and the delivery address to quote and deliver. Without them we cannot process your order. Everything else is voluntary.
Who we share it with
- Lorry and transport contractors who deliver your order (name, site contact, phone number and address only).
- Our banks, when you pay us.
- Our accountants, auditors, company secretary and legal advisers.
- The providers that run our website, email and messaging: Cloudflare (website hosting), Google (email) and WhatsApp (messages you send us there).
- Credit reference agencies, if you apply for credit terms.
- Government bodies, regulators, the police and the courts, when the law requires it.
We do not sell your personal data.
Data held outside Malaysia
Our website, email and messaging providers may store or process data on servers outside Malaysia. We use them under their published data protection terms and transfer personal data only as the Act allows.
How long we keep it
- Quote enquiries that do not become an order: up to 2 years.
- Orders, invoices, delivery orders and accounting records: 7 years, as required by Malaysian tax and company law.
After that we delete or anonymise it.
How we protect it
Only staff who need your data can see it, our systems are password protected, and this website uses an encrypted (HTTPS) connection. No system is completely secure. If a personal data breach happens, we notify the Personal Data Protection Commissioner, and you where the breach is likely to cause you significant harm, as the Act requires.
Your rights
You can ask us to:
- give you a copy of the personal data we hold about you;
- correct data that is wrong, incomplete or out of date;
- stop using it for direct marketing, or withdraw a consent you gave us;
- send your data to another organisation, where this is technically feasible (data portability);
- stop processing that is causing or is likely to cause you substantial damage or distress.
Write to us at the email or address above. We may need to confirm your identity first, and we reply within 21 days. We may charge the fee the regulations allow for a copy of your data.

We do not use advertising or analytics cookies, such as Google Analytics or the Meta Pixel. If we add them, we will update this policy and ask for your consent first. You can delete or block cookies in your browser settings; your quote list will then not be kept.
Children
This website is for trade buyers and is not intended for anyone under 18.
Changes to this policy
We may update this policy. The effective date at the top shows when it last changed.
